These terms govern your use of Assaya, a passive fire protection record-keeping platform
provided by Rockfirepro Ltd (company no. 16969024, England & Wales; ICO registration
ZC191719) ("we", "us", "Assaya"), available at
app.assaya.co.uk and through the Assaya mobile app.
By setting up or using an account you ("you", "the Customer") agree to these terms.
1. The service
Assaya is a tool for recording, organising and reporting passive fire protection work —
fire-stopping, fire doors and fire dampers — including drawings, seal records, photographs,
inspection due-dates and evidence packs. Each Customer is provided with its own isolated
instance of the platform.
2. Accounts & your responsibility
- An account is held by a single registered company (the account holder). The account
holder is the sole party we contract with, and is responsible for all use of its account,
including the actions of every person it invites or grants access to.
- You are responsible for keeping sign-in credentials secure and for the accuracy of the
information your team records.
- Our duties under these terms run only to the registered account holder. We are not
responsible for, and owe no duty to, any third party you choose to give access to.
- Accounts and access are personal to your company and must not be resold, sub-licensed, or
shared to allow another business to use Assaya without its own subscription.
3. Subscriptions, pricing & payment
- Assaya is a paid subscription service. There is no free tier: an account may be set up and
configured, but recording work and generating evidence requires an active subscription.
- Prices are as published on our website and are stated exclusive of VAT, which is added
where applicable. Plans are billed monthly, or annually with one month free.
- Payment is collected securely by our payment processor, Stripe, by card or Bacs Direct Debit.
We do not store or have access to your full card details.
- Founder pricing: the first twenty-five (25) paying firms (together with any honorary
founder we designate) receive a founder rate that is locked for the lifetime of their
continuous subscription. Firms twenty-six (26) to one hundred (100) receive an early-adopter
discount for their first year. These offers are limited and applied at checkout.
- Fees are non-refundable for part-used periods. You may cancel at any time (see clause 5).
- We may change prices for future billing periods on reasonable notice; a founder rate, once
granted, is not increased for as long as the subscription remains continuous.
4. Your data & ownership
- Your records are yours. You may export your complete data set at any time from the
admin console (System → Download full backup).
- We process your data only to provide the service, as described in our
Privacy Policy, which forms part of these terms.
- Your data is stored in your own isolated instance and is never pooled with, shared with, or
made visible to other customers.
5. Cancellation & data retention
- You may cancel your subscription at any time. Access to paid features continues until the end
of the period already paid for.
- After a subscription ends, your data remains available for you to export for twelve (12)
months from the membership end date.
- At the end of that twelve-month period your data is permanently deleted and cannot be
recovered. Re-subscribing before the end of the window keeps your data intact.
6. Independence — no conflict of interest
Assaya is owned and operated by Rockfirepro Ltd, which separately operates a passive fire
protection contracting business. Rockfirepro's contracting business does not oversee,
monitor, audit, or have access to your work, jobs, clients or records. Rockfirepro's only
relationship to your data is as the operator of the Assaya software. Rockfirepro owns Assaya;
that is the whole of the relationship.
7. Your responsibility for compliance
Assaya is a record-keeping and reporting tool. It helps you capture, organise and evidence your
work and its inspection schedule. It is not a substitute for your own professional judgment,
certification, accreditation, or legal duties. You remain solely responsible for the fire
protection work itself, its correctness, and for meeting your obligations under all applicable
regulations and standards. Inspection reminders and due-dates are provided as an aid and do not
transfer any compliance duty to us.
8. Acceptable use
You agree to use Assaya lawfully and only for your own company's fire protection record-keeping.
You must not attempt to circumvent access controls or billing, disrupt the service, or use it to
store unlawful content.
9. Availability & support
We aim to keep Assaya available and reliable and to back your data up regularly, but the service
is provided on a reasonable-efforts basis and we do not guarantee uninterrupted or error-free
operation. Support is provided via hello@assaya-app.co.uk
and the in-app support form.
10. Liability
- Nothing in these terms limits liability for death or personal injury caused by negligence,
fraud, or anything else that cannot be limited by law.
- Subject to that, we are not liable for indirect or consequential losses, loss of profit, or
loss arising from your own fire protection work or compliance obligations.
- Our total liability arising out of the service is limited to the fees you paid us in the
twelve months before the claim.
11. Changes to these terms
We may update these terms from time to time. Material changes will be notified to account
administrators. Continued use after a change means you accept the updated terms.
12. Governing law
These terms are governed by the laws of England & Wales, and the courts of England &
Wales have exclusive jurisdiction.
